How to configure your account for success:
Inviting your team and setting up user roles in PlaybookUX
- Admins can remove people from the account and change their access level. They can upgrade people from User -> Admin, or downgrade them from Admin -> User. We recommend limiting your number of admins.
Configuring Approval Flow
Approval Flow allows admins to set different user roles and control who can launch studies and who can approve draft projects.
An "Approver," is someone who can launch projects without requesting approval and can approve project plans for other team members.
A team member with the "Doesn't need approval" role is excluded from the approval flow. They can launch their own projects without approval. However, they are not able to approve someone elses study.
A team member with "Needs approval" role will not be able to launch a study without getting approval from an "Approver."
How can I check on how many credits we are using?

Whenever you launch a study, you’ll see the number of credits that you are using for that study. Once the study is launched, those credits will be automatically deducted from your workspace.

To view your total remaining balance, go to your account settings and click on the billing tab, and it will be listed under the Prepaid Balance Remaining section.

How can we best manage our usage and credit spend throughout the year?
- During the onboarding process, your dedicated Customer Success Manager will set up monthly touchpoint reviews.
- During our monthly check-ins, we will review your current usage and on-track usage spending.
How do I keep my research organized?
- Within PlaybookUX, you can have two levels of organization. The highest level of organization is the workspace level. Within each workspace, you can set up folders to organize projects within that workspace.
- As companies scale up their research teams, they tend to add additional workspaces to keep their research organized.
- With multiple workspaces, you can decide which team members you’d like to invite to each workspace. Separate workspaces are great for companies that have different product lines, departments, or initiatives that you want to keep separate. Also, credits are set at the workspace level, so some teams prefer to have separate workspaces to ensure that one team doesn’t use another team's credits.
Enable PlaybookUX as a supported sender to ensure you receive emails from our system
- You’ll receive emails when you receive your first participant, as well as when the study is done. You’ll also receive calendar invites for your Moderated projects. To ensure you receive all notifications from PlaybookUX, set PlaybookUX up as a supported sender. Email addresses added to the Safe Senders List will always be exempt from being marked as junk email. By default, these email addresses are in your contacts as safe senders, thereby preventing their messages from being diverted to the Junk Folder.
